What will you do?
As the Business Operations Analyst, you will be responsible for independently performing a wide variety of business services-related duties involving facilities management, purchasing and procurement, and property control. You will research, analyze, and use independent judgment and discretion to interpret and apply statutes, regulations, policies and procedures related to the Business Services unit functions and programs. Specifically, you will:
- Act as a liaison to building management and ensures compliance with building and fire code regulations. Respond to service requests submitted by departmental staff for building maintenance, including but not limited to HVAC, janitorial, lighting and plumbing issues. Monitor onsite contractors.
- Maintain service records and provide management with status reports and monitors to ensure timely resolution. Facilitate emergency responses for maintenance issues.
- Coordinate and support interoffice moves or changes; space planning and furniture coordination; prepare office spaces for staff, and coordinate modifications to existing office spaces as needed.
- Independently coordinate with stakeholders to update to the department’s Emergency Preparedness and Evacuation Plan and corresponding guidelines. Consult with and advise employees regarding emergency procedures.
- Research, develop, and execute purchase agreements and receipts for IT and Non-IT goods and/or services using the Cal-card and/or FI$Cal Modules (Purchasing & Procurement Contracts).
- Maintain procurement files, including purchase order tracking systems, and ensure appropriate documentation of quote/bid processes for all purchases are prepared. Manage vendor database to ensure proper documentation.
Who are you?
- You have strong analytical skills with demonstrated ability to quickly evaluate complex issues and identify multiple options for resolution.
- You have the ability to build rapport with internal and external stakeholders which you need to push your work forward.
- You have experience in business services or facilities management, including managing daily operations, maintenance, and employee support.
- You have experience purchasing goods and/or assisting with the development and execution of contracts.
- You have experience maintaining databases and tracking high volumes of data.
- You have strong written and oral communication skills.
- You possess strong organizational skills, time management skills and ability to self-manage in an environment with multiple projects with moving deadlines.
- You are proficient in Microsoft Office products and using track changes in Microsoft Word.
